3. How We Collect Information

We collect information:

  • Through our practice management and booking software, SimpleClinic, when you make or manage a booking

  • From payment processors when you make a purchase or pay for services

  • From other healthcare providers, with your consent, if a referral or shared care arrangement is in place

Wherever practicable, we collect health information directly from you, with your knowledge and consent.

4. Why We Collect and Use Your Information

We use your information to:

  • Provide naturopathic consultations, yoga, sound healing, and related services

  • Prepare and manage treatment plans, herbal prescriptions, and clinical notes

  • Manage appointment bookings, reminders, and cancellations

  • Process payments for consultations and apothecary purchases

  • SimpleClinic, our third-party cloud-based practice management and booking platform, which stores appointment and clinical record data on our behalf

  • Payment processing providers, to process transactions

  • Other treating practitioners, with your consent, where care is shared or a referral is made

  • Professional indemnity insurers or regulatory bodies, where required to respond to a complaint or claim

  • Government bodies or law enforcement, where required by law

We do not sell your personal or health information to third parties.

Some of our service providers (such as cloud software providers) may store data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure that overseas recipients handle your information in a manner consistent with the Australian Privacy Principles.

6. Storage and Security of Information

  • Clinical and booking records are stored electronically within SimpleClinic, which is password-protected and access-controlled

  • Physical records (if any) are stored securely on our premises with restricted access

  • We take reasonable technical and organisational steps to protect your information from misuse, interference, loss, unauthorised access, modification, or disclosure

  • Health records are retained for the period required by law (in NSW, generally a minimum of 7 years from the last consultation, or until age 25 for a patient who was a minor at last consultation) and are securely destroyed or de-identified once no longer required

7. Your Rights

Under the Privacy Act, you have the right to:

  • Know why your information is being collected, how it will be used, and to whom it may be disclosed

  • Request access to your personal and health information held by us

  • Request correction of information you believe is inaccurate, out of date, or incomplete

  • Make a complaint if you believe we have mishandled your information

To request access to or correction of your records, please contact us using the details below. We will respond within a reasonable timeframe, generally within 30 days.
